Job Posting – Sales & Services Coordinator

Position Description

We are seeking an experienced professional to join our convention sales & services team. This position reports to the senior vice president of business development and is responsible for administrative and clerical support for all members of the sales & services team.


Creative and collaborative, dynamic, fast paced work environment. Full time position located in professional office in Lansing, MI. Standard work hours Mon.-Fri. 8:30 am – 5 pm., with opportunity for flexible/part-time remote schedule. Occasional evenings/weekend events.

Knowledge and appreciation for the mid-Michigan region and the #lovelansing community. Ability to develop and foster relationships with event planners and appropriate hospitality industry partners, leveraging these skills to increase and promote the Lansing area hotels and event centers for a positive meetings experience.

Education and Experience

Associate or Bachelor’s degree preferred. Experience in a support position required. Experience in the hospitality industry preferred.


  1. Responsible for all administrative functions for Sales & Services Department and Senior Vice President of Business Development.
  2. Serve as the Sales & Services Department’s point of contact for Simpleview (CRM database) and its functionalities, including the assurance of required fields for the inputting of new leads.
  3. Assists Sales & Services Department with various reporting mechanisms, including the monitoring of the integrity of Simpleview (CRM database), to ensure the reliability of the data. Compiles month-end reports and provides monthly lead report to designated hotels. Assists in creation and enhancement of measurement reports and other miscellaneous reports.
  4. Assists the Lansing Center Director of Sales with development of proposals, contracts, and other sales organization responsibilities.
  5. Coordinates scheduling and paperwork for on-call ambassador staff.
  6. Coordinates weekly room pick-up reports from hotel community. Handles other reporting mechanisms as deemed necessary.
  7. Provides support to all managers in the department to ensure successful external events and programs. Handles various tasks such as information booth set-up and restocking, various deliveries, creation and maintenance of maps and directions, welcome signs, internal event assistance and other tasks as delegated by department managers.
  8. Provides administrative support to sales managers. Makes travel arrangements and coordinates meetings and events. Prepares and distributes client proposals digitally. Sends client confirmation letters and handles follow-up on outstanding letters. Coordinates preparation for trade shows, client FAMs and other sales-related events.
  9. Assists in the coordination of partner meetings. Assists in speaker selection, site selection and all details related to ensuring a successful event.
  10. Assists sales managers with solicitation efforts, including development of solicitation strategies and assistance with research.
  11. After initial pre-qualification by respective Sales Manager, responsible for booking and maintaining meetings-only leads and business inquiries.
  12. Handles product inventory for Sales & Services department, including client gifts and event giveaways.
  13. Serves as daily back-up to visitor center inquiries. Covers receptionist area and incoming calls on main phone line and in person visitors as needed.
  14. Responsible for professional written and verbal communication with clients, members, and a variety of other professionals.
  15. Performs other duties as assigned.

Essential Physical and Environmental Requirements

  1. Requires physical activity for extended periods of time such as computer work/keyboarding, telephone use, bending, reaching, twisting, sitting, and standing.
  2. Requires lifting, pushing and pulling objects over 25 pounds.
  3. Travel in personal automobile and air travel required for Bureau Business.

  2. Extensive knowledge of the Greater Lansing area and the ability to effectively communicate that knowledge to visitors; knowledge of the hospitality industry and its importance to the local economy; ability to understand the role of the Bureau in the community.

  4. Excellent interpersonal skills and ability to work effectively as a team member at all levels of the organization.

  6. Strong organizational and time management skills; ability to handle multiple tasks and projects simultaneously.
  7. Outstanding oral and written communication skills including grammar, spelling and general written correspondence skills.
  8. Excellent computer skills; proficiency in Microsoft Office software.
