Position Description
We are seeking an experienced administrative professional to join our team. This full time, hourly position reports to the VP of Finance & Administration and serves as the administrative assistant for the Choose LansingTM office. Provides clerical and other support to President, and all departments.
Environment
Creative and collaborative, dynamic, fast paced work environment. Full time position located in professional office in Lansing, MI. Standard work hours Mon.-Fri. 8:30 am – 5 pm. This position involves working some evening and weekend events.
Education and Experience
Associate degree or higher preferred. Experience in a support position providing customer service and working with the general public required. Database experience and ability to juggle multiple projects and deadlines. Experience in the hospitality industry and knowledge/appreciation for the mid-Michigan region desired.
Responsibilities

Primary point of contact for incoming telephone calls and visitor inquiries; directs callers to appropriate staff. Answers visitor inquiries and researches visitor information when necessary. Logs calls and guests contacts for tracking purposes.

Performs other duties as assigned.

Responsible for creating streamlined processes for the everyday functioning of the office.

Responsible for all entries and updates to the website event calendar and logistics of the event welcome sign program.

Distributes mail, processes bulk mailings, fulfills visitor requests and digital pass fulfillments.

Assist in collecting and entering new and updating data within Simpleview (CRM database.

Provides administrative support to the finance department by performing general accounting tasks.

Responsible for procurement and inventory control of visitor information and general office supplies.

Greets and provides assistance to Bureau guests. Responsible for keeping a general awareness of community events, attractions, restaurants and other relevant businesses.
Essential Physical and Environmental Requirements
-
Requires physical activity for extended periods of time such as computer work/keyboarding, telephone use, bending, reaching, twisting, sitting, and standing.

Travel in personal automobile and air travel required for Bureau Business.

Requires lifting, pushing and pulling objects over 25 pounds.

Extensive knowledge of the Greater Lansing area and the ability to effectively communicate that knowledge to visitors; knowledge of the hospitality industry and its importance to the local economy; ability to understand the role of Choose LansingTM in the community.

Excellent computer skills; proficiency in Microsoft Office software.
